Zoom Integration Guide

Everything you need to add, use, and remove the BlueHill Zoom integration. Once connected, calendar events and confirmed bookings in BlueHill automatically become Zoom meetings hosted on your own account.

Prerequisites

  • A BlueHill account — any member can connect their own Zoom. Start a free trial if your team doesn't have one yet.
  • A Zoom account (free or paid) that is allowed to authorize Marketplace apps. On managed Zoom accounts an admin may need to pre-approve BlueHill for your account.

Adding the integration

From BlueHill (recommended)

    Open the Integrations tab

    In the BlueHill app, go to https://app.usebluehill.com/settings/integrations (Organization Settings → Integrations tab) and find the Zoom card.

    Click “Connect your Zoom”

    Your browser is redirected to Zoom's secure consent screen (zoom.us), which lists exactly what BlueHill is requesting.

    Review and allow

    Review the requested permissions and click Allow. Zoom redirects you back to BlueHill.

    You're connected

    The Zoom card now shows “Connected as <your Zoom email>”. Meetings you schedule in BlueHill are hosted on your Zoom account from now on.

From the Zoom App Marketplace

You can also start from BlueHill's listing on the Zoom App Marketplace: click Add and approve the permissions. Zoom then sends you to BlueHill — sign in if you aren't already, open Organization Settings → Integrations, and click Connect your Zoom to finish linking the accounts (the second consent is instant since you already approved).

Organization-wide connection (advanced, optional)

An admin can additionally configure a Server-to-Server connection under Organization default (advanced) on the same Zoom card. It acts as a fallback host for team members who haven't connected a personal Zoom account, and uses credentials from a Server-to-Server OAuth app created in your own Zoom account — it is separate from the Marketplace integration described on this page.

Permissions (scopes)

BlueHill requests the minimum Zoom scopes needed to schedule meetings on your behalf — nothing more. You'll see these on Zoom's consent screen before anything is shared:

meeting:write— Create & manage the meetings BlueHill schedules

Lets BlueHill create a Zoom meeting when you schedule one, update it when the event is rescheduled, and delete it when the event is cancelled. Only meetings created by BlueHill are ever touched.

meeting:read— Read meeting details

Lets BlueHill read back the join URL, passcode, and occurrence details of the meetings it created so they can be attached to events, emails, and calendar invites.

user:read— Read your basic profile

Reads your Zoom account's name and email once, at connect time, so BlueHill knows which account hosts your meetings and can show “Connected as …” in Settings.

What BlueHill stores

  • An encrypted OAuth access & refresh token for your connection
  • Your Zoom account's basic identity (name, email) to resolve the host
  • The IDs and join URLs of meetings BlueHill creates on your behalf

What BlueHill never accesses

  • ✕Cloud recordings, transcripts, or meeting chat
  • ✕Your Zoom contacts or address book
  • ✕Meetings you create outside of BlueHill
  • ✕Account billing or admin settings

Using the integration

Once connected, Zoom meetings are created and kept in sync automatically:

  • Calendar events — create an event in the BlueHill calendar and choose Zoom as the conferencing option. A Zoom meeting is created on your account and the join link is attached to the event, the emailed invite, and the .ics file. The host's start link stays private to the host.
  • Booking links — when a customer books a time through one of your scheduling pages or customer-specific booking links, the confirmed booking generates a Zoom meeting on the spot and the join link is delivered in the confirmation email and calendar invite.
  • Reschedules and cancellations — moving an event or booking updates the underlying Zoom meeting; cancelling deletes it. You never have to touch the Zoom meeting directly.
  • Recurring events — recurring BlueHill events map to native recurring Zoom meetings where Zoom supports the pattern, with per-occurrence updates when you edit a single instance.

Managing & reconnecting

  • The Zoom card at Organization Settings → Integrations always shows your connection state, including the Zoom email it's linked to.
  • Your personal connection follows you: if you belong to several BlueHill organizations, connecting once is enough — meetings you host from any of them use your Zoom account.
  • To switch Zoom accounts or repair a broken connection, click Disconnect and then Connect your Zoom again with the account you want.
  • If an organization default (Server-to-Server) connection is configured, it hosts meetings for members who haven't connected a personal account.

Removing the integration

You can disconnect at any time, from either side:

  • From BlueHill — go to Organization Settings → Integrations, find the Zoom card, and click Disconnect. BlueHill revokes its token with Zoom and deletes the stored credentials for your connection.
  • From Zoom — sign in to the Zoom App Marketplace, open Manage → Added Apps, find BlueHill, and click Remove. Zoom revokes BlueHill's access immediately and notifies BlueHill's deauthorization endpoint, which purges your stored tokens automatically.

Either way, BlueHill stops creating Zoom meetings for new events. Meetings already on your Zoom account are not deleted, and your BlueHill events keep their existing join links.

Troubleshooting

  • The connection attempt ends with an error — return to the Integrations tab and click Connect your Zoom again. The consent link is valid for 10 minutes; an expired or interrupted attempt fails safely and can simply be retried.
  • "Personal Zoom connections aren't enabled on this server yet" — shown only when the Zoom app credentials aren't configured for your BlueHill environment. Contact your admin or support@usebluehill.com.
  • An event saved without a Zoom link — the event's host hadn't connected Zoom when it was created (BlueHill saves the event anyway and flags the meeting as skipped). Connect Zoom, then edit and re-save the event to create the meeting.
  • The meeting is hosted by the wrong account — meetings are hosted by the event's host. Check which Zoom email the host's card shows, or reconnect with the intended account.

Data handling & security

OAuth tokens are encrypted at rest, and all traffic between BlueHill and Zoom is encrypted in transit (TLS 1.2+). Disconnecting from BlueHill deletes your stored tokens immediately; removing the app from Zoom's side triggers the same purge via Zoom's deauthorization notification.
